See What They See
As a Platform Administrator, your view of SafetyHQ is unlimited. However, your field workers see a different version of the app—one restricted by their role permissions. To effectively troubleshoot issues or train your team, you need to see the app through their eyes. The best way to do this is by creating and using a Test User.
Option A: The Gold Standard
Contact Your SafetyHQ Deployment Trainer
The simplest and cleanest way to get a test user is to let us do it for you. Contact your SafetyHQ Deployment Specialist and ask them to insert a Test User profile into your system.
*This ensures the profile is set up without touching Foundation.
Option B: Integrated DIY
Add to Foundation
If you sync with Foundation, you cannot add workers directly in SafetyHQ. You must add a employees in the Foundation Payroll module first, even for test users.
- Use a fictitious name (e.g., "Test User").
- Crucial: Enter a valid email address so you can receive the password reset link.
Option C: Standalone Employee Module
Add in SafetyHQ
Only if your company does not integrate workers from Foundation:
Go to the Workers module, click the Add New button, and fill out the profile manually. Again, ensure the login email address is real so you can log in.
Changing the Role
You control this test user from your main Admin account. To see what a specific employee sees, you assign the test user that specific role.
- Log in as your Platform Admin (your real account).
- Go to the Workers module and search for "Test".
- Click the card to open the profile, then click Edit.
- Scroll to Details and find Worker Role.
- Change the role (e.g., to "Attendee") and click Update Worker.
The "Real" Email Rule
For integrated clients, the email coming from Foundation is the "Source of Truth." However, you can override the Login Email in SafetyHQ.
Critical Requirement
The Login Email Address field in SafetyHQ MUST be a real, accessible email account. Why? Because to log in as the test user, you need to set a password. The "Forgot Password" link sends an email. If the email is fake (e.g., fake@example.com), you can never set the credential to log in.
Using the Test User
1. Log In
Log out of your Admin account. Go to the login screen and enter the Test User's email. If you haven't set a password yet, click Forgot your password? to trigger the reset email.
2. Verify the View
Once logged in, go to various parts of the software and you can see only what that role has permission to see. Is there something visible you do not want that role to see? You may have to give them a different role. Attempt to verify certifications or view documents to ensure the permissions are working as expected. Remember, as a platform admin you can view permissions of all your roles, and set new ones at Setup > Permissions.
Troubleshooting: "I don't see my new user yet."
If you added the user in Foundation but they aren't in SafetyHQ yet, you don't have to wait for the nightly sync. You can force it manually.
Setup > Integration Settings > Click "Sync Now"
